Terms of Service

These Terms of Service govern your use of the CrewBase platform. Please read them carefully before using our services.
Important: These Terms include restrictions on misuse, confidentiality obligations for employers, permitted job use for job seekers, and a notice of a 24-hour expedited takedown process for substantiated complaints. This document is informational only and not a substitute for professional legal advice.
Definitions
"Platform" – the CrewBase software (mobile apps, web admin, related APIs). "Operator" – Vladislav Poliakov, operating the Platform. "User" – any natural person using the Platform. "Job Seeker" and "Employer" have role meanings in Section 5. "Personal Data" – any information relating to an identified or identifiable natural person. "Candidate Data" – Personal Data contained in a Job Seeker profile or application.
1. Who We Are

The Operator acts as the data controller and contractual counterparty for all services provided through the Platform. CrewBase is a self-service SaaS platform providing maritime recruitment tools.
1A. No Employment Relationship
CrewBase is not an employer, employment agency, staffing agency, or recruitment agency. No employment, agency, joint venture, partnership, or fiduciary relationship is created between CrewBase and any User by virtue of using the Platform. The Platform facilitates connections between job seekers and employers but does not participate in, mediate, or guarantee any hiring decision, employment contract, or working arrangement. All employment relationships are solely between the job seeker and the employer.
1B. Anti-Discrimination
CrewBase is committed to equal opportunity. Discrimination based on race, colour, ethnicity, national origin, religion, gender, gender identity, sexual orientation, age, disability, marital status, or any other characteristic protected by applicable law is prohibited on the Platform. Employers must ensure their postings and hiring practices comply with applicable anti-discrimination and equal employment laws.
2. Purpose of the Platform
CrewBase is a maritime and offshore recruitment facilitation and candidate intelligence platform enabling:
- Seafarers / job seekers to create structured professional profiles, discover vacancies, generate resumes and apply (manually or via automation features where configured).
- Employers to post or manage vacancies, search and filter candidates (including AI-assisted semantic search) and track applications.
- Administrators (approved elevated accounts) to moderate, verify employers, process reports and enforce compliance.
3. Eligibility
You confirm that:
- You are at least 16 years old (or higher age if required by applicable law in your jurisdiction).
- You have legal capacity to accept these Terms.
- For employer accounts, you are authorized to bind and represent the employer organization.
4. Account Registration & Accuracy
You must provide accurate, current and complete information and keep it updated. Impersonation, fabrication of credentials, falsified certificates, or misrepresentation of experience are prohibited. The Platform may suspend or terminate accounts suspected of fraud, impersonation, data scraping or abusive automation.
5. User Types and Roles
- Job Seeker: Creates and manages profile, generates CV, searches jobs, applies, configures auto-apply rules.
- Employer: Posts jobs (subject to approval), views and filters candidates, manages applications, communicates with candidates strictly for recruitment.
- Admin: Moderation, employer approval, handling complaints, abuse review, system oversight.
6. Acceptable Use (General Prohibitions)
You agree NOT to:
- Post or transmit false, misleading, fraudulent or deceptive content.
- Harass, discriminate, defame, threaten or abuse users.
- Upload malicious code; probe, scan or test system vulnerabilities; attempt to bypass access controls.
- Scrape, harvest, export, resell, mirror, bulk copy or commercially exploit Platform databases.
- Use automated scripts or bots except authorized in-platform automation.
- Post, solicit or promote illegal, unsafe, non-genuine or misleading vacancies.
7. User Content & License
"User Content" includes profile data, job posts, messages, documents, certificates, feedback, generated CVs, and moderation submissions. You retain ownership of your User Content. You grant the Operator a non-exclusive, worldwide, revocable (upon deletion), royalty-free license to host, store, index, analyze, display and transmit User Content solely for platform operations and legal compliance.
8. Job Source Transparency & Disclaimer
Job postings available in the Platform originate either from employers who submit postings directly, from publicly available sources lawfully accessed and attributed where feasible, or from curated agency or industry feeds. If you believe a posting infringes rights, submit a complaint for expedited review and potential removal within 24 hours.
CrewBase acts solely as an aggregation platform and information intermediary. We do not verify, endorse, or guarantee the accuracy, legitimacy, safety, or legality of any job posting, employer, or employment opportunity listed on the Platform. CrewBase is not a party to any employment agreement, contract, or arrangement between job seekers and employers. The Operator bears no responsibility for the content of job postings, the conduct of employers, the outcome of any application, or any subsequent communication, negotiation, or employment relationship arising from use of the Platform.
8A. Job Seeker Safety Advisory
⚠ Fraud Warning: The maritime industry is unfortunately targeted by scammers. Be vigilant when responding to job postings.
While we strive to moderate content and remove fraudulent postings promptly, some illegitimate listings may temporarily appear on the Platform. You are solely responsible for exercising due diligence and caution when engaging with any job posting or employer. We strongly advise:
- Never send money to any employer, recruiter, or agent as a condition of employment, visa processing, training, or any other reason.
- Never share sensitive personal documents (passport copies, bank details, social security numbers, STCW certificates) with unverified contacts or via unencrypted channels.
- Verify employer identity independently — check the company name, website, physical address, and registration with relevant maritime authorities before sharing personal information.
- Be cautious of unsolicited offers that seem too good to be true, require upfront payments, or pressure you into immediate decisions.
- Use official communication channels — be wary of requests to continue communication via personal messaging apps, unofficial email addresses, or outside the Platform.
- Report suspicious postings immediately using the in-app report function or by emailing support@crewbase.pro.
CrewBase is not liable for any loss, damage, or harm resulting from interactions with employers or third parties encountered through the Platform, including but not limited to financial loss, identity theft, or fraudulent employment schemes.
9. Employer Confidentiality & Limited Use of Candidate Data
Employers agree that candidate personal data is to be used solely for bona fide evaluation of a candidate for potential maritime/offshore employment. It is prohibited to export, resell, sublicense, publicly disclose, or add to unrelated marketing lists. The Platform may deliver applications using a proxy email channel to protect employer contact details.
10. Job Seeker Conduct & Restrictions
Job seekers shall not repost or redistribute employer postings externally, spam employers, apply under false identity, use automation to overwhelm employer inboxes, or harvest other candidates' data.
11. Communications & Messaging
In-platform messaging is restricted to recruitment discussions and follow-up. Unsolicited advertising, solicitation for unrelated services, or mass marketing is prohibited.
12. Automated Features
Auto-apply and AI semantic search are provided on an "assistive" basis. The system attempts to avoid duplicate or low-quality submissions, but final responsibility for appropriateness remains with the job seeker. Employers must independently evaluate candidate suitability.
13. Feedback, Reports & Complaints
Users may submit reports for fraudulent jobs, impersonation, IP infringement, abusive conduct, data misuse or privacy concerns. Qualifying content will be removed within 24 hours (expedited takedown) unless legally required to preserve evidence.
14. Security & Data Storage
Data is stored primarily in Google Firebase/Firestore with encryption in transit (TLS) and at rest. Role-based security rules enforce user/employer/admin access scopes. Despite safeguards, no system is perfect; you acknowledge residual risk inherent to online services.
14A. Security Incident Response
On becoming aware of a Personal Data breach presenting a material risk to user rights (e.g. unauthorized access, exfiltration, destructive alteration), we will: (i) investigate and contain; (ii) log and assess impact; (iii) notify affected users and/or relevant supervisory authorities where legally required (timelines subject to jurisdiction, e.g. 72h under GDPR); and (iv) take remedial measures to mitigate recurrence.
15. Content Removal & Takedown
We reserve the right to remove any content violating these Terms, applicable law, intellectual property rights, privacy or safety standards. Upon receipt of a valid takedown request we aim to process within 24 hours. Repeat violators may face suspension or termination.
16. Suspension & Termination
We may suspend or terminate accounts for violations, security risk, fraud, legal requirement, or abuse. You may request account deletion at any time. Certain metadata may be retained as required by law.
17. Availability & Modifications
Features, interfaces and pricing tiers may evolve. We may deploy updates, patches, or remove legacy functionality. Scheduled maintenance or emergency downtime may occur without prior notice.
17A. Force Majeure
The Operator shall not be liable for any delay or failure to perform obligations under these Terms resulting from causes beyond reasonable control, including but not limited to: natural disasters, acts of war or terrorism, epidemics or pandemics, government actions or sanctions, internet or telecommunications failures, power outages, cyberattacks, or failures of third-party infrastructure providers (including cloud hosting).
18. Disclaimer of Warranties
The Platform is provided "AS IS" and "AS AVAILABLE" without any warranties (express, implied, statutory) including but not limited to merchantability, fitness, accuracy, uptime, or non-infringement. Without limiting the foregoing, the Operator does not warrant the accuracy, completeness, reliability, or legitimacy of any job posting, employer profile, or third-party content available through the Platform. Users rely on such content entirely at their own risk.
19. Limitation of Liability
To the maximum extent permitted by law, aggregate liability shall not exceed the greater of EUR 50 or total subscription fees paid in the 12 months preceding the event. The Operator is not liable for indirect, incidental, consequential, punitive or special damages, lost profits, lost data, loss of goodwill, opportunity costs or business interruption. Mandatory consumer rights remain unaffected where applicable law prohibits exclusion or limitation.
20. Indemnity
You agree to indemnify and hold harmless the Operator from claims arising out of your User Content, breach of these Terms, violation of law, or misuse of data.
21. Governing Law & Jurisdiction
These Terms are governed by mandatory consumer protection law of your habitual residence where applicable; otherwise the laws of the Republic of Turkey shall apply. Mandatory conflict-of-law provisions and non-waivable statutory rights (including those under EU Regulation 593/2008 (Rome I) for EU/EEA consumers) are preserved. Disputes should first be addressed via support@crewbase.pro in good faith.
21A. EU Online Dispute Resolution
For users in the European Union: the European Commission provides an Online Dispute Resolution (ODR) platform at https://ec.europa.eu/consumers/odr. We are not obligated to participate in ODR proceedings but encourage resolution via support@crewbase.pro first.
22. International & Export Compliance
You represent you are not prohibited from receiving services under applicable sanctions or export control laws.
23. In-App Purchases & Subscriptions
Pricing, taxes and billing are determined by Apple App Store / Google Play. Subscriptions auto-renew unless cancelled at least 24 hours before the end of the current period. Manage subscriptions: iOS – Settings > Apple ID > Subscriptions; Android – Google Play > Payments & Subscriptions.
23A. Web Subscriptions & EU Right of Withdrawal
For web subscriptions purchased directly through our website (processed by Paddle):
- Monthly subscriptions: refunds available within 14 days of purchase.
- Annual subscriptions: refunds available within 30 days of purchase.
EU/EEA consumers have a statutory 14-day right of withdrawal under Directive 2011/83/EU for digital services purchased online. To exercise this right, contact support@crewbase.pro with your order details within 14 days of purchase. If you have expressly consented to immediate performance and acknowledged loss of withdrawal right, the right may be limited proportionally to services already provided.
24. Refund Policy
24.1 Mobile App Purchases (iOS & Android)
For subscriptions and in-app purchases made through Apple App Store or Google Play Store, refunds are processed according to the respective store's refund policies. CrewBase does not directly process payments for mobile app purchases and cannot issue refunds for these transactions.

24.2 Web Subscriptions (Employer Corporate Plans)
For web subscriptions purchased directly through our website (processed by Paddle):
- Monthly subscriptions: Refunds are available within 14 days of purchase if you are not satisfied with the service.
- Annual subscriptions: Refunds are available within 30 days of purchase.
To request a refund for web subscriptions, contact support@crewbase.pro with your order details. Refunds will be processed within 5-10 business days to the original payment method.
24.3 Non-Refundable Situations
- Requests made after the refund window has expired
- Accounts terminated for violation of Terms of Service
- Partial month/year usage after the refund window
24.4 Cancellation
You may cancel your subscription at any time. After cancellation, you will retain access until the end of your current billing period. No prorated refunds are provided for unused portions of the billing period after the refund window has closed.
25. Changes to Terms
Material changes will be announced in-app or by email with reasonable prior notice. Revised Terms take effect on the stated date. Continued use constitutes acceptance.
26. Severability & Entire Agreement
If any provision is held invalid, remaining provisions remain in force. These Terms plus referenced policies (Privacy Policy, guidelines, notices) constitute the entire agreement between you and the Operator.
27. Survival
Provisions regarding licenses, confidentiality, acceptable use, limitation of liability, indemnity, governing law, dispute resolution and survival shall remain in effect after termination.

29. Data Processing Addendum (Placeholder)
If an Employer qualifies as a business customer requiring a separate Data Processing Addendum (DPA) (e.g. under GDPR Art. 28 or equivalent frameworks) and the Operator is deemed a processor for particular processing activities, a mutually executed DPA incorporating Standard Contractual Clauses (where relevant) will govern. Until such execution, processing described herein is performed as an independent controller unless explicitly stated otherwise.
30. Subprocessors (Summary)
Primary infrastructure & tooling subprocessors (subject to change with notice):
- Google Cloud / Firebase (Hosting, Firestore, Authentication, Cloud Storage, Cloud Messaging)
- RevenueCat (subscription receipt processing & entitlement management)
- Resend or alternative transactional email provider (notification & verification emails)
- Apple Push Notification Service (APNs) (push delivery)
- Firebase Crashlytics / Performance (crash & performance telemetry, if enabled)
Material additions or replacements that materially change data exposure will be reflected in an updated Privacy Policy or in-app notice prior to activation where legally required.
31. Law Enforcement & Government Requests
We review each request for legal sufficiency and scope. Non-emergency requests ordinarily require a valid, lawfully issued and properly served legal process (e.g. subpoena, court order, warrant). We will (unless legally prohibited) notify affected users before producing data. Emergency disclosure (imminent risk of serious physical harm) may occur without prior notice consistent with applicable law. We do not provide direct data access portals to authorities.
32. CCPA / CPRA Disclosures
For California residents (USA): We do not "sell" Personal Information nor "share" it for cross-context behavioral advertising as defined in CPRA. Consumer rights (access, deletion, correction, opt-out of sale/sharing) may be exercised by contacting support@crewbase.pro. We will not discriminate for exercising a privacy right.
33. Schrems II & International Transfers
Where EU/EEA Personal Data is transferred to countries without an adequacy decision (e.g. US), we rely on Standard Contractual Clauses (SCCs) incorporated in Google Firebase and RevenueCat agreements plus supplementary technical/organizational measures: encryption in transit & at rest, strict access controls, minimization, and rapid revocation procedures.
If you do not agree with these Terms, do not use the Platform.
